Privacy Policy
Effective date: October 26, 2026
This Privacy Policy applies to the Kansas Ultrarunning Historical Foundation and its related websites, including KansasUltrarunningHistory.org, KansasUltraRaces.com, KansasUltraRunners.com, and any companion domains that redirect to or support those sites.
Information We Collect
We may collect information you voluntarily provide, including your name, email address, optional phone number, newsletter preferences, historical submissions, corrections, photographs, documents, stories, source information, attribution preferences, and other materials you choose to submit.
Our websites may also collect technical and usage information such as IP address, browser and device information, referring pages, pages visited, timestamps, request identifiers, cookie or consent information, and similar operational data through server logs, analytics tools, security systems, cookies, or related technologies.
Email Report Requests
When you request an email report from a runner, race, race-edition, organization, or other supported Foundation page, we collect the information needed to process and protect that request. This may include your name, email address, confirmation status, request identifier, timestamps, newsletter opt-in status, IP address or related request metadata, and the page or record connected to the request.
Report requests use email verification before delivery. Verification links are time-limited and may be single-use. We may retain request and verification records as reasonably necessary for delivery, troubleshooting, rate limiting, abuse prevention, security, recordkeeping, and system administration.
Submissions and Corrections
The Foundation submission system requires a real name and valid email address. Depending on the submission category, you may also provide optional contact information, uploaded files, provenance information, public-credit preferences, and other details relevant to the historical record.
Submitted historical materials may be retained for long-term archival, provenance, research, verification, and preservation purposes even when they are not immediately published. If you request that your identity not be publicly credited, the Foundation may still retain your identity internally as part of the submission and provenance record.
How We Use Information
We may use information to operate, secure, and improve the Foundation websites; maintain and verify historical records; review submissions and corrections; deliver requested email reports; send newsletters or updates when you have opted in; communicate when follow-up is necessary; measure site usage; enforce rate limits; prevent fraud or abuse; and support the Foundation’s historical and educational mission.
Email and Newsletter Communications
Transactional messages related to an email report request, verification step, submission, donation, feedback request, or other action you initiate are separate from newsletter communications. Selecting a newsletter option is voluntary. The newsletter uses an email-confirmation step, and you may unsubscribe using the link provided in subscriber communications.
If you enable browser notifications, the notification provider may process a subscription identifier and browser or device information to deliver alerts. Browser notifications are separate from the email newsletter. You can revoke notification permission through your browser or device settings.
Donations and Donor Recognition
Online donations are processed through Stripe-hosted checkout. Stripe collects payment details under its own Privacy Policy. The Foundation does not receive or store your full card number or card security code through this checkout. We may retain donor contact information, contribution amounts and dates, payment and subscription identifiers, transaction status, and related records to acknowledge gifts, administer recurring support, reconcile payments, prevent fraud, and maintain financial records.
Public donor recognition is optional. If you submit a name or logo for recognition, we retain your recognition choices and any consent for footer display. Recognition submissions are reviewed before publication. Choosing anonymity does not remove the internal financial record, and donating does not subscribe you to the newsletter.
Feedback and E-book Downloads
If you request a feedback link, we use your email address to verify access and may retain your feedback, verification and submission dates, related request metadata, and optional newsletter consent for review, improvement, and abuse prevention. Feedback is reviewed internally; public summaries should exclude identifying details unless separately authorized.
The free e-book does not require registration or an email address. Its download counter records aggregate request counts by day and originating site, rather than storing visitor names, email addresses, IP addresses, or cookies in that counter. Ordinary hosting, security, or analytics logs may separately record technical information as described in this policy.
Cookies, Analytics, and Similar Technologies
The Foundation websites may use cookies, analytics services, pixels, consent tools, and similar technologies to operate the sites, remember preferences, measure traffic and usage, protect against abuse, and improve communications. Where applicable, cookie or consent controls are provided through the websites, and additional controls may be available through your browser or device settings.
Cross-Site Operation
The three primary Foundation websites operate as a connected ecosystem. Certain functions, including navigation, access controls, verification flows, reporting, analytics, security, or preference handling, may involve information passing between or being recognized across those related domains as necessary to provide the requested function.
Sharing of Information
We do not sell personal information. We may share information with service providers that help us host, secure, analyze, communicate, process forms, deliver email, maintain data, or otherwise operate the Foundation websites; when required by law; to protect the Foundation, its systems, users, or rights; or with your permission.
Public Historical Information
The Foundation’s mission includes preserving and publishing historical information about races, organizations, people, and events. Information that is part of the historical record may be published even when it also identifies individuals, subject to the Foundation’s editorial standards, source evaluation, archival purpose, and applicable law. A request concerning published historical information will be evaluated in light of both privacy considerations and the Foundation’s preservation mission.
Data Retention and Security
We retain information for as long as reasonably necessary for the purposes described in this policy, including long-term retention when appropriate for archival provenance, historical preservation, security, legal compliance, or operational records. We use reasonable administrative and technical measures to protect information, but no method of storage or transmission is completely secure.
Your Choices
You may ask the Foundation to review, correct, or delete personal information you have directly provided, subject to legal, archival, historical-record, security, and operational considerations. You may also use available cookie controls, browser settings, and email unsubscribe mechanisms.
Children
The Foundation websites are not directed to children under 13, and we do not knowingly collect personal information from children under 13 without appropriate authorization.
Changes to This Policy
We may update this Privacy Policy as the Foundation websites, services, and archival practices evolve. The effective date above will be updated when material changes are made.
